2 Hours before the meeting - Pub, Prep, & Prime
Pub - send out one last tweet with all the important logistical details (time, place, how long you expect the meeting to last), a Facebook Message or text can work as well.
Prep - Preview and finalize the agenda, make sure the room is available, and review talking points & goals for the meeting with key participants such as the e-board, chairs, advisors, etc.
Prime - Pump up the importance of the meeting! @'em - include your members in your social media posts about the meeting. Send out a teaser about the important goal you need to accomplish this meeting.
2 Days After the Meeting
Review the notes - make sure everything makes sense and is an accurate representation of what happened at the meeting.
Send the notes - Sending out the full minute transcript might be a bit much, but a message, sent to the meetings attendees, highlighting the key points and moments is great! (Only send this out to the people that attended the meeting or those that request it)
Include Reminders - In the highlights that you send, reserve a special section for reminders (general or specific) about goals, deadlines, commitments, etc.
2 Weeks After the Meeting
Follow up and Follow Through - This is not from you, this is from the members of the organization! Don't micro-manage, allow everyone in your org room to succeed and grow or fail and learn. Once the expectation is set and consistently promoted, maximizing your meetings becomes second nature.
